The Zumtobel Group is an international lighting group and a leading supplier of innovative lighting solutions, lighting components and associated services. With its core brands, Zumtobel, Thorn and Tridonic, the Group offers its customers around the world a comprehensive portfolio of products and services. We are looking for a new team member to join our customer services team in the Warsaw offices. The role is responsible for managing customer orders, after-sales activities including claims handling, returns, invoicing, and customer data, while ensuring compliance with company procedures and service standards. Through proactive communication and close collaboration with internal stakeholders, the Customer Service Specialist contributes to customer satisfaction, operational efficiency, and business success.
Responsibilities
Primary point of contact for customers and sales teams throughout the order lifecycle. Ownership of customer orders from the point of order placement through to delivery, Process customer orders and related requests in ERP systems with a high level of accuracy and efficiency. Monitor order progress, delivery schedules, and potential issues. Maintain regular communication with customers and sales representatives, providing timely updates on order status and delivery commitments. Primary point of contact for customers regarding claims, warranty cases, returns, and other after-sales matters. Investigate customer issues by gathering all relevant information from customers, sales team and service team, logistics providers, manufacturing site, and other internal stakeholders. Prepare and process invoices, credit notes, and other sales-related documentation. Maintain accurate customer, project, and order information in ERP and CRM systems.
Skills & Experience
You are experienced in working in a customer centric role. It would be advantageous if you have knowledge of SAP or a similar CRM system. You have strong administrative and organisational skills. You are a good team player with eagerness to learn. High customer focus and responsiveness. Excellent communication skills both oral and written. Fluent in Polish and a business proficiency level in English.
